About the role…
You will be a key player within the Director of Administration and Finance (DAF) office, working under the supervision of the Chief Archivist, for the collection, preservation and monitoring of the archives of the University of Luxembourg. As a young University, our institution is looking to further improve our ability to assess, preserve, manage, maintain, and enhance our archives. You will work with the top management, the UL services, the faculties, interdisciplinary centers, and all UL archive producers, to implement and deploy archiving strategies, and ensure a robust framework for UL archiving.
You will bring specific expertise in:
- Guiding, supporting, and improving archiving processes across departments, faculties, and interdisciplinary centers
- Issuing advice to archive producers regarding quality, consistency, and effectiveness of archiving
- Developing and maintaining quality, internal control and monitoring of the archiving processes
- Participation in the elaboration of year plans with objectives, actions, and timing in collaboration with the Chief Archivist and archive producers
- Creating awareness about archiving processes, designing information material and knowledge articles
- Organizing and delivering targeted information, training sessions and workshops
- Processing archival backlogs
- Preparing and receiving archival deposits
- Classifying and indexing administrative, education and scientific archival collections according to archival description rules
- Ensuring interoperability, quality control and deposit management
- Conducting the collection of permanent historical archives
- Recovering UL archives currently held by private individuals
- Organizing elimination, destruction, and transfer of archives, in close collaboration with the National Archives
Your profile…
- Master’s degree in Archives Studies and/or Records Management, or Master in History
- At least 5 years of work experience in archives and electronic archiving
- Previous experience in academia and research environment would be appreciated
- Excellent understanding of (paper and digital) archival and electronic document management standards
- In-depth understanding of the legal and ethical framework for public archives, personal data protection (GDPR), and copyright management
- Flexible and dynamic, ability to adapt to new situations, solution-oriented, and agility in complex, multicultural and multi-stakeholder environments.
- Team oriented attitude and enthusiasm for learning
- Operational skills; e.g. proficiency in office tools, archival management software, EDMS, processing tools
- Fluency in English and French (written and oral) are mandatory. Good understanding of German and/or Luxembourgish is an asset
