Due to the continued growth of our Benelux operations across consultancy, design, and engineering services and projects, we are looking to appoint a Document Control Manager to oversee the function across the Benelux. This role can be Waterloo or Bornem based.
It will be a diverse and varied role, working alongside our Architecture & Engineering (A&E), Construction Management teams across a variety of different projects simultaneously.
Responsibilities
- Management of Document Control team across the Benelux, working together to achieve objectives to meet company timescales.
- Motivate and manage the team, coordinate customer feedback, solve problems and help to remove any blockers to effective working.
- Document control on a number of projects simultaneously (small to large scale).
- Manage documentation records for projects in compliance with all quality and regulatory requirements.
- Check documentation for compliance with project requirements, issuances of document, update registers and manage all incoming & outgoing documents.
- Ensure all project documents including drawings, quality manuals and procedures, are transmitted to relevant personnel and clients.
- Liaise with project managers and engineers for submissions and preparing for closing of projects.
- Ensure all the relevant project documentation are registered / maintained in the electronic Document Management System.
- Periodic review of archived documents in line with retention schedule.
- Conduct internal audits to ensure the internal controls align with document control procedures and policy.
- Ensure adherence to the company’s document control procedures and quality system.
- Provide administrative support to Engineering and Projects departments.
- Awareness & understanding of applicable company procedures.
- Project filing/document handover process.
- Project filing/archiving process.
Qualifications
- A suitable level of knowledge and experience in a document control function, preferably within a an engineering consultancy or construction environment.
- Experience with document management systems (EDMS/Collaboration systems), preferably ProArc.
- Proven ability to successfully manage a small team.
- Experience in dealing with multidiscipline design teams, subcontractors and a wide client base.
- Ability to understand technical concepts and work with technical departments and personnel to achieve goals.
- Advanced proficiency in MS Office and Adobe.
- Clear communicator.
- Proven ability to deliver excellent service to all customers – internal and external.
- Proactive approach, takes responsibility and with a ‘can do’ attitude to tasks and responsibilities.
- Adaptable and flexible to demands of working in a fast paced environment.
Strong problem-solving, organisational and time management skills. - Good knowledge of English, Dutch and/or French.
